Order Confirmation | Change in Process | Ariba Network

In recent months Sasol has been improving, streamlining and optimising various business processes. To this end, we would like to reiterate a key point in the Sasol Procure-to-Pay (PtP) process, for suppliers registered on the Ariba Network.  ­­
 
Process
 
The positive confirmation of receiving a purchase order from Sasol assists with planning the use of the procured materials/ goods.  It further aligns Sasol’s requirements to supplier deliveries in the context of item description, price, delivery date, payment terms and applicable tax. 

As part of the PtP process, suppliers are requested to review and accept (or reject, with reasons) the PO (Purchase Order) on the Ariba Network, before delivering services or materials / goods to Sasol. This is seen as the ‘order confirmation’ and confirms that an order has been successfully placed. It also ensures that both parties agree on the conditions of the transaction, specifically the item description, price, delivery date, payment terms and applicable tax.

Since the implementation of the Ariba Network, the order confirmation has been highlighted as pivotal to the PtP process ensuring a mutual agreement between stakeholders. It further showcases the transparency of an order’s status. 

For your information and perusal, a video link has been included below to assist in understanding the process. 
 
 Change 
  • Effective 2 May 2023, the confirmation of PO’s will be mandatory. Suppliers will be required to confirm the PO before an invoice can be created on Ariba.
  • The auto-flip functionality (in the case of materials) will be non-functional if the PO has not been confirmed prior to the delivery of the materials/goods. This will result in you having to accept the order and thereafter submit the invoice via the Ariba Network.  This action could delay the receival of the invoice by Sasol and subsequent delay payment.
Approximately 90% of orders are being accepted and we would like to express our appreciation and thanks in this regard. Our primary goal is to have all orders accepted and we would like to reemphasise the importance of order confirmations by requesting those suppliers that are not in the habit of doing so, to please note the changes moving forward.  
 
As important stakeholders within the PtP process, your cooperation and understanding in terms of the changes being implemented is a pivotal component to ensuring effective and safe operations.
